xoScan: Barcode-Based Warehouse Management and Order Picking
With xoScan, you can check goods into the warehouse using a barcode scanner and verify each order item by item as you pack. Upon completion, xoScan sets the order status, sends a customer email if requested, and holds back canceled orders. The most important rule: Items are not booked until the order is completed.
At a Glance
- Access: Tools → xoScan with the tabs “xoScan Warehouse Check-In” and “xoScan Order Picking.” The settings are located under Settings → Interfaces → Inventory Management/ERPs/Accounting → xoScan.
- Scanner: Any scanner that behaves like a keyboard. xoScan reads a code after a short pause; pressing Enter is not necessary.
- Picking: Scan the document barcode or shipping label, scan the item, then scan “Complete.” The status will then change as you have specified under “xoScan: Status Changes.”
- Posting: An “Add” posting adds the scanned quantity; an “Inventory” posting overwrites the stock. The item’s stock is posted for each warehouse.

What do I need for xoScan?
You can find xoScan in the admin area under Tools → xoScan. The page has two tabs: xoScan Stock Entry and xoScan Order Picking.
A barcode scanner
Any standard scanner that acts like a keyboard when connected to the computer (USB or Bluetooth). See “Set Up Scanner” for instructions on how to configure it.
Properly Formatted Item Codes
xoScan identifies items by their item number or EAN/GTIN (EANs must be at least 11 digits long). If the item has a different code, such as an EAN-8, enter it in an additional field (see Settings). Leading zeros in the EAN are ignored, even when entering items into inventory. from 4.9.85
Barcode on the Document
To load an order, scan the barcode on the packing slip or delivery note. You can specify which documents it appears on under Settings → Design → Documents → Barcode (PDF). By default, these are the packing slip and delivery note.

If your store prints a prefix or suffix from the number range before or after the order number (such as “AR2039449”), xoScan will still recognize the document barcode. from 4.9.94
Who is authorized to use xoScan?
You can specify whether the “xoScan” menu item appears for a user group under Settings → Administrators → User Groups. There is no separate permission for posting: Anyone who works with xoScan can post goods and complete orders.
How do I set up the scanner?
xoScan requires no software or drivers. The scanner “types” the code into the page. These settings on the scanner ensure that every code is captured in full.
- Keyboard mode: The scanner must operate as a keyboard, via USB or Bluetooth.
- Same keyboard layout: Set the scanner to the same layout as your computer, such as German. Otherwise, letters and special characters in item numbers will be transposed.
- Enter or Tab after the code: It doesn’t matter. xoScan ignores both and processes the code as soon as the scanner stops sending data for a quarter of a second.
- 2D codes: xoScan treats QR and Data Matrix codes with line breaks as a single scan.
- Disable buffer or batch mode: A scanner with a buffer sends collected codes without a pause after a connection is lost. xoScan cannot distinguish between them and will not post any of them.
- Long codes: If individual characters are lost on shipping labels, slow down the transmission to the scanner (keyboard speed or pause between characters).
How does xoScan accept a scan?
Once the page opens, xoScan is ready to go immediately. As long as the barcode icon on the right is animated, xoScan is processing each scan.
- Stay focused: Do not click in other fields or windows while scanning. If the animation stops, click the barcode icon; xoScan will then be ready again.
- Every scan counts: If you scan an item twice, xoScan counts two units. In the inventory entry screen, you can correct quantities in the table before finalizing.
- Nothing is posted in advance: Inventory and order status do not change until you scan the completion barcode.
- Reloading means starting over: If you reload the page or switch tabs, xoScan discards all previous scans.
- Manual entry: This works if you type quickly. After a quarter-second pause, xoScan processes whatever has been entered up to that point. For an order, enter the order number without letters (e.g., “19301”); xoScan does not recognize the printed pack number from the packing list (e.g., “PL19301”).
How do I pick an order?
xoScan Order Picking tab: You load an order, scan the items as you pack them, and complete the order. xoScan checks whether the items and quantities match the order.
1. Load the order
Scan the barcode on the packing list or delivery note. Alternatively, you can use the barcode from the shipping label if the tracking number is saved in the order—for example, after generating the label in the store.
2. Scan items
Scan every item you place in the package. The “Scanned” column tracks the count until it falls below the required quantity. The row turns green as this happens.
3. Pay attention to notifications
If an item does not belong to the order or if the quantity has already been reached, xoScan will notify you immediately. This way, any mistakes are caught before the package is sealed.
4. Finalize
"Finalize " checks whether everything has been scanned completely. "Finalize without verification " also completes an incomplete order, such as in the case of a partial shipment.

What information does xoScan display for the order?
- The shipping and billing addresses, as well as any notes the customer added to the order.
- The shipping method. Shipping methods from “xoScan: Highlight Shipping Methods” appear with a red background and flash, such as Express or Pickup.
- For each item: image, item number, GTIN, name, and characteristics, plus how many units are coming from which warehouse and the warehouse location.
- Sorted by warehouse location ex-factory to keep the walking distance in the warehouse short.
What happens upon completion?
The order status changes according to the xoScan: Status Changes setting. There, you can create entries for Status (Before), Status (After), and email text blocks —for example, “In Progress” → “Shipped” with the “Shipping Confirmation” text block.

Customer Email
The email is only sent if “Notify customer” is enabled in the selected text block. Documents such as invoices or order confirmations are attached if they are selected in the text block. You can edit text blocks in an order using the “Text Blocks” button.
If you select “Do not send email,” xoScan will only log the entry in the order history. For orders from Billbee, the email is only sent if “Send customer update emails” is enabled under Tools → Billbee (Sync). This is disabled by default.
What else xoScan does
- Adds an entry to the order history with your username and the documents sent.
- Pending bonus points are credited if the new status is set under Settings → Checkout → Bonus/Free Products → “Bonus points are credited when status...”
- For orders from Billbee, the store transfers the tracking number to Billbee as soon as the new status is a shipping status.
- For marketplace orders (e.g., Amazon, eBay, Kaufland), the store notifies the marketplace of the shipment as soon as the new status is a shipping status.
Set Shipping and Cancellation Statuses
You can specify which statuses are considered “shipped” and which are considered “canceled” under Orders → Order Status: Open the status and enable “Shipping” or “Cancellation.” This determines the notifications sent to Billbee and marketplaces, as well as the cancellation lock.

- One row per previous status: If there are multiple rows for a status, the first one applies.
- No matching transition: If the order is in a status with no corresponding row, xoScan reports, “No status change is defined for this status; nothing was posted.” from 4.9.127
- Multiple packing stations: If another packing station or the cancellation reconciliation has since changed the status, xoScan does not post anything and prompts you to rescan the order. from 4.9.127
What does xoScan do with canceled orders?
xoScan prevents a canceled order from being marked as “shipped.” from 4.9.127
When loading
If the order has a cancellation status or if the store has imported a cancellation from Billbee, a red message and a pop-up window appear: “Order … is canceled – please do not ship!” This applies even without an entry in “xoScan: Warning Statuses.”
Upon completion
If a canceled order is transitioned to a shipping status or if a transition is missing, xoScan blocks the completion. Other transitions, such as to a custom returns status, remain possible. Before any transition to a shipping status, xoScan checks the status of orders from Billbee in real time. If Billbee is unavailable, a warning appears, and xoScan completes the process: In this case, please check the status yourself.
After completion
If Billbee reports a cancellation when the tracking number is transferred, xoScan displays “Attention: Order … was canceled in Billbee – Hold the package!”. Set the package aside.

For other sourcing channels, such as marketplaces, xoScan only checks the status in the store. Make sure that the status assigned to canceled imports is marked as “Canceled” under Orders → Order Status.
Messages During Scanning

How do I enter goods into inventory?
xoScan Inventory Receipt tab: for goods receipt or inventory. The “xoScan: Inventory Receipt Mode” setting determines whether the scanned quantity is added to the inventory or replaces it. The default setting is “Add to Inventory.”
1. Select the destination warehouse
If you work with multiple warehouses, select the destination warehouse at the top. The “xoScan: Destination Warehouse Definition” setting determines which warehouses appear there and in the table. The default setting is the main warehouse only.
2. Scan items
Each scan increases the quantity in the destination warehouse by one. New items appear in the table with an image, item number, GTIN, name, and current stock level.
3. Review and correct
Adjust quantities directly in the table. Enter the shelf location in the “Storage Location (for Packing List) ” field.
4. Complete
Scan the “Complete” barcode. It appears after the first item. The transaction is posted only now, and xoScan confirms with “Inventory entry successfully completed.”

Multiple Warehouses
Multiple warehouses are available if “Settings → Checkout → Inventory → Advanced Warehousing” is enabled. In this case, xoScan displays one row per warehouse for each item based on the destination warehouse definition. The quantity field for the destination warehouse is highlighted in green. The store prints the location of the main warehouse on the packing slip. xoScan displays the storage locations of the other warehouses during picking.
What the stock update does not do
- It updates the inventory of the item itself, not that of individual attribute combinations. You continue to manage inventory levels for each variant within an item in the product details.
- It does not reactivate items that the store has deactivated when they are sold out (Settings → Checkout → Inventory → Set Sold-Out Products to Inactive). Reactivate such items in the item maintenance screen after posting.
- It does not create an entry in the item’s change log.
How do I conduct a physical inventory with xoScan?
Set xoScan: Inventory Entry Mode to “Inventory.” Then, when you finalize the entry, the scanned quantity will replace the current inventory level instead of increasing it.
- Every warehouse displayed is overwritten: If you’re working with multiple warehouses, finalizing each item in the table sets the inventory for each displayed warehouse to the table value—even to 0. If you’re counting only one warehouse, set the target warehouse definition to that specific warehouse beforehand, or enter the inventories of the other warehouses into the table.
- Counting an item in a single pass: If you finalize an item twice, the quantity from the second finalization takes precedence. If an item is located in multiple locations, scan all units before finalizing.
- Reset afterward: After the inventory, reset the mode to “Add-on,” otherwise the next goods receipt will overwrite the inventory.

This also includes Settings → Design → Receipts → Barcode (PDF) for the document barcode, Settings → Checkout → Inventory → Advanced Inventory Management for multiple warehouses, and under Orders → Order Status, the “Ship” and “Cancel” toggles.
Practical Tips
- Finding orders for an item: In the order overview under Orders → Orders, the Item No./GTIN filter field displays all orders that contain the item. You can enter the item number or the GTIN, or scan the barcode directly into the field. Leading zeros are ignored for GTINs. from 4.9.85
- Maintain warehouse location: xoScan sorts the items in an order ex-works by warehouse location. If this is maintained, the picking route in the warehouse is shorter.
- Closing Barcodes as Labels: The barcodes are Code 128 with the text “
submit;ok” (Closing) and “submit;ok2” (Closing without verification). When printed and attached at the packing station, “Completion” works in both tabs, while “Completion without verification” works only in the picking tab. - Clean up duplicate EANs: The message “found multiple times” indicates items that share a code. This is often an old duplicate that you can deactivate.
- Read customer notes: xoScan displays order comments in yellow above the line items, such as packaging requests.
