eBay Integration

Sell your store items on eBay: The store automatically lists items, syncs prices and inventory, and imports orders. This guide describes both integrations—eBay (classic) and the new eBay integration—along with their respective backend settings.


Which eBay integration is right for your store?

There are two integrations available in the Multichannel menu. Always connect an eBay account to only one of them; otherwise, both will list the same items.

eBay (Classic)

The tried-and-true integration via eBay’s Trading API. It lists items with variants as a single listing, transfers the manufacturer’s product safety information (GPSR), and includes comprehensive inventory protection.

eBay (New)

The integration via eBay’s REST interface with OAuth authentication. It uses the same configuration screens as the Kaufland integration: minimum and maximum stock levels, as well as category and warehouse selection for each marketplace. It does not transfer variant listings; however, it sends the manufacturer’s product safety information (GPSR) starting with version 4.9.70.

How do I set up eBay (classic)?

You can find all settings under Admin → Multichannel → eBay (Classic) → “eBay Configuration” tab. Click “Update” to save your changes.

Connect Account (V4.9.26 and later)

Under “Live eBay Account,” enter your eBay username, click “Apply XONIC App Values” to import your login credentials, and save. When saving, the form will ask for the item location and at least one eBay category (Step 3).

Then click “Connect to eBay” → “Sign in to eBay.” In the new tab, sign in with your seller account and confirm access. Back in the store, “Sign-in Complete – Retrieve Token” will retrieve the authorization.

Finally, set “eBay Account System” to Live and save again. “Check Validity” shows you at any time how long the authorization is valid.

Retrieve Terms and Conditions

First, set up payment, shipping, and return policies in your eBay account. “Import General Terms and Conditions” transfers them to the store, replacing the previous settings.

Then, under “Return Policies” and “Payment & Shipping Methods,” enable the options you want to be available for selection on the item page.

Location and Preselection

Under “Item Location,” enter the city, ZIP code, and country of your fulfillment center.

Under “Global Settings,” specify which item conditions and shipping times are selectable for the item and whether the GTIN is included. Under “eBay Categories,” check the categories in which you sell.

Fixed-Price Listings

  • Quantity: a fixed quantity or the current stock level. “Max. quantity” limits the quantity per buyer.
  • eBay Price Transfer: Store price or custom eBay price field, optionally with a percentage markup and rounding.
  • Customer group for price calculation: for example, a custom price list for eBay. Special prices take precedence over group prices.
  • Variant transfer method: “Family (product families)” is the recommended method.

Enable automation

In the “Inventory Protection” section, “Automatic Upload of New Products” enables the automatic listing of new items. The shop synchronizes active listings independently of this.

There, you should also set “Order Status on Import” and “Import Orders From,” and check the inventory protection settings before releasing a large number of items at once.

How do items get listed on eBay (Classic)?

You approve items; the shop lists them and keeps the price and inventory up to date.

Approve Items

On the item page, under the “eBay” tab, enable “List item on eBay” and fill in the required fields: eBay category, item condition, time until shipment, and return, shipping, and payment terms.

Optional: a custom eBay title (additional field `ebay_titel`, maximum 80 characters), a different eBay description, and a custom eBay price. To apply settings to multiple items at once, assign them to entire store categories in the “eBay Templates” tab.

Set Up and Sync

If automatic upload is enabled, the store will list approved items on its own. To do this manually, use the eBay overview: Select items → “Prepare items for export” → “eBay Item Export” tab → “Upload items to eBay.”

Changes to price, inventory, and content are automatically synced, with the most recently updated items processed first. Uploads and syncs occur in small batches. For large product ranges, it may therefore take a while for everything to be transferred.

Product Attributes

The store automatically transfers the brand, manufacturer number, and EAN. To do this, each active product custom field becomes an eBay item attribute; the field name is the name of the attribute.

If eBay requires additional mandatory attributes in a category—such as “size” or “color”—create additional fields for them and fill them in for the item. If a mandatory attribute is missing, eBay will reject the listing.

Manufacturer Information (GPSR)

eBay requires manufacturer information. The store retrieves this from Products → Manufacturer: company, address, country, and email. For manufacturers outside the EU, the responsible person in the EU is also included.

If the country is missing or the ZIP code is longer than 9 characters, the shop skips the item and displays a message. Make sure the email address is in a valid format. Starting with version 4.9.70, the new eBay integration performs the same checks before listing a new item. It continues to synchronize active listings, but without manufacturer information. Starting with this version, the shop automatically removes leading and trailing spaces from the information.

Items with Variants

Using the “Family (Product Families)” method, an item appears as a single listing with all its variants. If an item previously sold individually becomes a variant, the shop automatically ends its old individual listing.

If possible, do not rename the variants of a live listing. eBay does not allow this change. The shop will then end the listing and relist it, resulting in the loss of sales figures and watchers.


Inventory Protection: What Happens When Inventory Reaches 0?

Automatically End: No

“Automatically end listings when stock is 0” is turned off. Sold-out listings remain active on eBay.

Upload only with inventory: Yes

Only items that can be sold will be listed. Available starting with version 4.9.64.

eBay “Out of Stock” option: on

In the seller settings of your eBay account. eBay will then hide sold-out listings instead of ending them.

What counts as inventory?

  • Warehouse stock minus safety stock; for multi-warehouse systems, this refers to the public warehouses.
  • A manual eBay quantity entered for the item also counts.
  • Items marked as “manually sold out” are never listed.
  • For variants using the “Family” method, the inventory of the active variants counts: The listing is considered available as long as any variant has inventory.

If an item is out of stock

With the recommended setting, the sync transfers a quantity of 0. eBay hides the listing, but the item number, sales figures, and watchers are retained.

When stock is available again, the next synchronization transfers the new inventory, and the listing becomes visible again along with its history.


Orders and Shipping with eBay (Classic)

eBay orders appear in your usual order management system, and shipping information is automatically sent back to eBay.

Order Import

The store automatically retrieves paid eBay orders, assigns the items using the item number (or the EAN as a fallback), and deducts the stock. In the eBay overview, you can also start the import manually by clicking “Order Import.”

The buyer does not receive an order confirmation email from the store. Whether you receive a copy yourself is controlled by the setting “Send Order Copy on eBay Import.”

Shipping Notification

If you set an eBay order to “shipped,” the store notifies eBay of the shipment with the tracking numbers and marks the order as paid there. For in-store pickup, the “shipped” status alone is sufficient without a tracking number.

This also works if your inventory management system sets the status via xoPort. XONIC Support defines which order statuses are considered “shipped.”


How do I set up the new eBay integration?

Go to Admin → Multichannel → eBay → “Settings” tab. Coordinate the initial setup with XONIC Support.

Access

Set “API Mode” to “Live” and enter the Client ID, Client Secret, and RU Name from your eBay developer account.

The first time you access the integration, the store will redirect you to log in to eBay. After that, it will automatically renew the authorization itself.

Upload Mode and Marketplace

"full " transfers content, price, and inventory. "offer_only " transfers only the price and inventory of existing listings and does not create new ones.

Under “Marketplace,” select eBay Germany, Austria, or Switzerland.

Location, Terms, Categories

Under “Location,” enter the city, ZIP code, and country. The shop automatically creates the warehouse location on eBay.

You can import payment, shipping, and return policies, as well as eBay categories, into the shop by clicking the “... Import/Update” button for each.

Which items are transferred to eBay via the new integration?

The “Products” and “Prices” sections under the “Settings” tab control selection, inventory, and pricing.

Publish Items

On the item page, under the “Marketplaces” tab, enable “eBay” and select the eBay category, condition, time to shipping, the three terms, as well as the listing type and listing duration.

Optional: a marketplace-specific price (net) and a different name.

Inventory

If inventory is low, the store reports a quantity of 0 to eBay. You set the threshold using “Minimum Inventory Quantity for Export.” It caps higher inventory levels at “Maximum Inventory Quantity for Export.”

“Warehouses to Include” specifies which warehouses the inventory comes from. If an item becomes inactive, the store deletes its listing on eBay.

Automatically Excluded

  • Items without an image
  • Items without a GTIN, as long as “Export products without GTIN” is turned off
  • Items with duplicate GTINs or MPNs, if the respective filter is enabled
  • Items on an exclusion list, for example, by manufacturer or brand
  • Items outside the “Category Restriction for Export” (whitelist or blacklist)
  • Items that are restricted for guests
  • New items to be listed whose manufacturer does not have a country or a ZIP code with more than 9 characters, until the information is correct. The shop continues to sync active listings, but without manufacturer details. Starting with V4.9.70

Prices

“Customer Group for Price Calculation” determines the price basis; “Include Special Offer Prices” applies special prices.

With “Automatic Price Markup,” you can set fixed or percentage-based markups for each price tier. For example, gross price rounding set to 0.99 rounds all prices to x.99.

Identifying and Resolving Errors

If eBay rejects a listing, the shop displays the reason and automatically retries later.

Where can I see the reason?

On eBay (classic), the message from eBay appears next to the warning icon for the item in the eBay overview. The “With Errors” filter shows all affected items from the last seven days.

If you manually trigger a run using the new integration, the store displays the message from eBay directly.

When does the shop try again?

After a rejection, the shop waits one day. If the issue has been resolved by then, the item will be accepted on the next attempt.

Starting with V4.9.68, if eBay reports only a temporary issue (“System error, please try again later”), eBay (Classic) will try again after just one hour.
