Warehouse & Inventory
Under Settings → Checkout → Inventory, you can specify whether your store sells items beyond available stock, what customers see when items are out of stock, and whether orders deduct from inventory. This guide covers the settings, inventory levels per item and per variant, multiple warehouses, reorder points, and how to track every inventory change.
At a Glance
- Never sell more than you have in stock: “Check Inventory” at
trueand “Allow Checkout” atfalse. By default, the store sells items even when they’re out of stock. - In-store inventory: “Product Quantity (In Stock)” minus “Safety Stock.” For attributes, the smaller value between the item quantity and the value inventory applies.
- Deduction: With “Adjust Stock” (enabled by default), each order is deducted from stock upon completion, and a cancellation is credited back.
- Sold Out: Show, hide, or set to inactive. You can reactivate items set to inactive yourself after receiving the goods.
- Tracking: An item’s “Log (History)” shows every recorded inventory change, including the time and the person who made the change.

Where to Find What
The rules for inventory are all located under Settings → Checkout → Inventory. You can manage inventory either for individual items or for multiple items at once.

Enable Inventory Management
By default, the store sells every item, even if it’s out of stock, and still deducts the quantity from inventory for every order. You can specify whether the store checks inventory and limits sales under Settings → Checkout → Inventory.

In the store, inventory is calculated as the “Product Quantity (Warehouse)” minus the “Safety Stock”; if there are multiple warehouses, the inventory of the public warehouses is also included. When performing an attribute selection, the smaller value between the product quantity and the attribute quantity applies.

Why is the shopping cart button missing?
- "Sold out/out of stock" is displayed on
true, and the quantity is 0 or less. The button then reads "This product is out of stock!" - "Checkout allowed" is displayed on
false(or the item is on sale), and either there is no stock left or everything is already in the shopping cart: "Maximum order quantity reached." - The “safety stock” is equal to the “product quantity (warehouse).” In this case, nothing is available for the store.
- With multiple warehouses, stock is only available in warehouses that are not public or restricted to the customer group.
- If this applies only to a specific size or color, the stock for that attribute value is 0; see Attributes & Variants.
Why isn’t the plus button responding?
The quantity selector stops at the highest allowed quantity. With “Allowed at checkout” set to “ false ” or “In sale,” this is the stock minus what’s already in the shopping cart. In the shopping cart itself, it stops at the stock level.
A “Maximum Order Quantity” set for the item or packaging units also limits the quantity; see the guide on Creating & Maintaining Products.
false, it limits the quantity to this value; with “Sold Out/Out of Stock” set to true, the shopping cart button is missing when the quantity is 0. Therefore, for such items, enter a sufficiently high stock level, such as 9999.Why Customers Return to the Shopping Cart
With “Check Inventory,” the store verifies the inventory in the shopping cart and at checkout once more before initiating payment. If the inventory is insufficient and “Checkout Allowed” is disabled or the item is on sale, it sends the customer back to the shopping cart.
- When the shopping cart is opened and during the “Shipping” and “Payment” steps, the store compares each quantity with the available stock.
- If there is less in stock than ordered, it adjusts the quantity to match the available stock and displays the message: “The quantity of ‘…’ has been reduced from 5 to 3 (limited availability).” If the item is out of stock, it removes the item: “‘…’ has been removed from your shopping cart (no longer available).”
- From the checkout, the customer is then redirected to the shopping cart, checks the quantities, and proceeds to checkout again.
- With “Stock Check in Checkout Steps 4 & 5,” the store repeats the check on the order summary and at checkout completion. This setting is disabled by default and hidden in the backend; please contact us if you need it.
- Typical cause: Another customer purchased the last remaining items, an import reduced the inventory, or the inventory for a specific attribute value is lower than expected.
- Keeps coming back: If an item’s stock is below 0, the store cannot reduce the quantity. The customer is redirected back with every attempt until you correct the stock or they remove the item. Set “Sold Out/Out of Stock” to
true, and such items won’t even end up in the cart in the first place. - Express Checkout: The store won’t display Stripe’s Express button as long as stock levels are blocking checkout.
Stock per Item
You manage inventory in the “General” tab of the product edit screen. If you have multiple warehouses, a table appears there with one row per warehouse.

Managing Inventory for Individual Items Only
Do you want to sell the majority of your inventory freely and limit only remaining stock? You can do this with “Clearance (EOL)”:
- Set “Check Inventory” to “
true,” “Allow at Checkout” to “true,” and “Sold Out/Out of Stock” to “false.” - For remaining stock, set “Clearance (EOL)” to Yes. These items will only sell while in stock; when out of stock, the button will display “Unfortunately no longer available.”
- For all other items, set “Inventory Management” to “No” if you don’t want the shopping cart to display any inventory information for them. For many items, set both switches in the CSV Porter using the fields “Clearance EOL (End of Life)” and “Inventory Management.”
Bundles
With “Calculate bundle stock automatically via bundle products,” a bundle’s stock is determined by its components, and an order deducts the components, not the bundle itself. Setup and toggle options are described in the guide “Create & Maintain Products.”
Inventory per Attribute and Variant
Sizes and colors have their own inventory if you enter it for the attribute value. Variants that are separate items within a product group already maintain their own inventory.
Stock at the Attribute Value
In the “Attributes” tab, each value has a “Product Quantity” field. If left blank, the item’s stock level takes precedence. If filled in, the lower of the item’s stock and the value’s stock applies; therefore, the item’s stock should be at least as high as the highest value stock.
An order placed in the shop deducts from the value-based inventory as long as “Adjust Stock” is enabled. Inventory per combination, such as “Black / M,” is available with a feature group; see the Product Attributes Guide.
Variants as Separate Items
In a product group (master and slaves), each variant is a separate item with its own “Product Quantity (Inventory)” and its own switches. Everything in this guide then applies to each variant. The Product Attributes Guide explains when to use attributes and when to use product groups.
Block Unavailable Values in the Selection
- “Check Inventory” and “Sold Out/Unavailable” at
true. - Enter 0 for the “Product Quantity” value.
- The value will then appear in the selection as “(out of stock!)” and cannot be selected. If the availability alert is enabled, it remains selectable so that customers can be notified about this specific variant.

Temporarily removing a variant

Caution when importing attributes: If your CSV file for attributes does not include a column for status, every import will reset all values in the file to “Active.” Include this column if you are deactivating values manually.
Delivery Status When Stock Is 0
The delivery time in the store is derived from the item’s traffic light profile. The stock level determines which stage applies.
Level for “Out of Stock”
Under Products → Traffic Light Profiles, each profile has the level “1. Standard” and additional levels “starting at” a certain “stock level.” The “1. Standard” level applies as long as the stock level is below the threshold for the second level—including when it is 0 or lower.
Example: Level 1 “Delivery time 10–14 days,” Level 2 “Available immediately” starting at 1. If the item is sold out, the store displays the delivery time for Level 1, even if you continue to sell it with zero stock.
More on delivery times
For instructions on how to create profiles, assign them to items, and modify them for multiple items, see the guide “Creating & Managing Products”; for delivery times during the ordering process, see the guide “Shipping & Delivery.” For items without “Inventory Management,” the inventory level does not change; simply enter a value that corresponds to the desired level.
Displaying Inventory in the Store
Go to Settings → Design → Product Listing → Show Stock Level at true to display “12 in stock” on the product page, in lists, and in the shopping cart. With “Hide high stock quantities,” the store displays only “More than 10 in stock” above the value “Hide high stock quantities starting at X.” The Google Merchant Center & Product Feed guide describes how stock levels are displayed in the Google product feed.
Sold-Out Items
If an item is out of stock, it can remain visible, disappear, or be disabled. All three options are found under Settings → Checkout → Inventory.
Display
“Sold out/out of stock” on true: The item remains in listings and search results, displays “Out of stock!” and cannot be purchased. Customers can sign up for availability alerts.
Hide
“Hide sold-out products” on true: Items with no stock are omitted from categories, search results, and product lists. With “ partial,” items with a future release date remain visible. Wishlists and notifications in the customer account continue to show saved items.
Set as Inactive
“Set sold-out products to inactive” on true: If a transaction reduces inventory to less than 1, the store deactivates the item; if an order is placed, the attribute value is also deactivated. This requires “Adjust inventory”; items without “Inventory Management” remain active.
Removing Sold-Out Items from a Promotional Category
This is handled by a “Products” type marketing event with the conditions “Products: Stock” less than or equal to 0 and “Products: In Categories” (your promotional category), and the action “Products: Remove Category Assignment.” The completed example can be found in the Marketing & Automation Guide.XONIC Premium: Marketing / Automatisierungen & Künstliche Intelligenz
Without this add-on module, you’ll need to remove the assignment manually. If you simply want to hide sold-out items everywhere, “Hide Sold-Out Products” is sufficient.
Who is waiting for which item?
- Reports → Sold-Out Products lists all items and attribute values up to a “max. stock level” that you enter at the top, with the option to export as a CSV.
- The “Product Notifications” guide describes the availability alert and the “Product Notifications” report. The emails are sent the next time you log in to the backend, provided the item is active and back in stock at that time.
Multiple Warehouses
Under Settings → Checkout → Inventory → Advanced Inventory Management at true, you can manage additional warehouses—such as a remote warehouse or a store—in addition to the main warehouse.
Create a Warehouse
- Under Products → Inventory Management, the “Inventory Overview” page opens. Click “Manage Warehouses” and then the “Create New Warehouse” tab.
- Set the “Status,” “Public Warehouse,” and “Sort Order”; enter the “Warehouse Name” at the bottom of the language tab; and save by clicking “Update.”
- Under “Customer Group Restriction,” choose whether all customer groups can view the warehouse or only selected ones.
- Afterward, each product detail screen will display one row per active warehouse showing stock, safety stock, and storage location; if the reorder point alert is enabled, it will also show the reorder point.

The “Inventory Overview” tab under Products → Warehouse Management shows the inventory and safety stock for each item across all warehouses; if the reorder point warning is enabled, it also displays the reorder point. If advanced inventory management is disabled, only the main warehouse is considered; the other warehouses remain saved.
Reorder Point and Reordering
If an item’s stock level drops to its reorder point, the store sends a list via email. This allows you to reorder in a timely manner.
Set Up a Low-Stock Alert Email
- Under Settings → Checkout → Inventory, under “Reorder Level Warning Check,” enter how many days the shop should check—for example, “
1” for daily. “0” disables the warning. - Under “Recipients of the Stock Level Notification,” enter one or more email addresses.
- The “Reorder Threshold (Warning when reached...)” field now appears on the product page, with separate fields for each warehouse if there are multiple warehouses. Enter the threshold.
- The store checks whenever someone logs in to the backend and the specified number of days have passed since the last email. There is no schedule that runs without a login.
- The email will include every item whose “Product Quantity (Warehouse)” in a warehouse is equal to or below the reorder point. The safety stock is not deducted for this purpose; a reorder point of 0 does not trigger anything.
- You can maintain the reorder point for many items in Quick Updates (“Show Reorder Point” under Settings → General → Quick Updates) or in the CSV Porter using “Reorder Point,” with “Reorder Point:
” for each warehouse.
Purchase Order for the Supplier
From a purchase order, you can send a purchase order form to the supplier. The “Supplier Actions” button appears in the purchase order only if
- at least one item in the purchase order is assigned to a supplier (Item screen, “General” tab, Suppliers), and
- the “Supplier Address (PDF)” field is filled out for this supplier under Products → Suppliers.
“Display Purchase Order for …” also requires the document type “Supplier Order (SO)” under Settings → Design → Documents → Documents: Allowed Types, and “Send Order Form & Delivery Note via Email to …” requires a valid “Supplier’s Email Address.” For more information, see the Orders Guide.
When the store updates inventory
Stock is only debited and credited using “Adjust Stock” at true and for items with “Stock Management” enabled.

Tracking Inventory Changes
Every posted inventory change is recorded in the item’s “Log (History)” along with the date and time, the person who processed it, and the old and new values.
Open the log
- Under Products → Categories / Products, select “Log (History)” from the item’s context menu. In the item screen, the same entry appears as a tab at the top.
- The “Admin” column lists the person who made the change. “System” appears for entries made without a logged-in employee, such as orders placed in the shop.
- “Changes” shows the old and new values for each field. The inventory is listed as “
products_quantity,” and stock lines are listed under “products_to_storages.” - “Information” lists the reason, such as “Order No. 1234” or “Cancellation/Return (Order Status Update).” Changes from Quick Updates appear under the heading “Standard Change” with the note “Quick Update.”

- The store displays the log only to the main administrator. If that is not your account, our support team will review it for you.
- The shop deletes entries that are older than one year.
- Entries made with xoScan and changes to products via the REST interface are not included in the log. Orders placed via the interface are included.
- The log records the attribute inventory when the product screen is saved, not when orders are placed.
Inventory Value
The shop does not provide a report or log detailing the value of your inventory. Export “Inventory” and “Purchase Price (net)” using a data importer and calculate the values in a spreadsheet; see the Import & Export Guide. Reports → Profit Calculation. The “Products” screen displays the purchase price, selling price, and stock level for each item.
Bulk Update Inventory
There are three ways to process a goods receipt or inventory count: Quick Updates in the backend, a CSV file, or the barcode scanner.
Quick Updates
Under Products → Quick Updates, the “Stock” column is displayed as long as Settings → General → Quick Updates → Edit Product Quantity is set to “ true ” (default). “Show Reorder Point” displays the “Reorder Point” column. Filter by category, manufacturer, supplier, or status, change the values, and save.
With “Adjust Inventory,” Quick Updates posts only the difference to the main warehouse and logs “Quick Update” in the log. For items without “Inventory Management,” Quick Updates does not change the inventory; you must change it in the item screen.
CSV Porter
Fields “Stock Level,” “Safety Stock,” “Reorder Point,” “Storage Location,” “Inventory Management,” and “EOL (End of Life) Sales,” with multiple warehouses per warehouse: “Stock:

xoScan
Using the barcode scanner, you can record goods receipts and inventory counts directly at the shelf, with multiple warehouses, into a selectable destination warehouse. See the xoScan Guide for procedures and limitations.
Via the REST Interface
An inventory management system updates stock levels via the xoPort REST interface. The warehouse fields ` products_quantity`, ` products_safe_quantity `, and ` products_reorder_level ` are available for each additional warehouse in the field ` storages`. The API documentation describes these fields and the registration process; see the Import & Export Guide.
The interface writes the reporting inventory and safety stock of the main warehouse as fields in the product.from 4.9.16
Change Note Texts for Out-of-Stock Items
The texts in the shopping cart and on the product page are stored in the language files. You can change them under Tools → xoLanguage by entering your own value, as described in the Languages & Translation Guide.
