Create & Manage Products
The product form from top to bottom: Product Number, Description, Delivery Time, Manufacturer, Product Tabs, Additional Fields, Recommendations, and Downloads. Plus sorting, bulk edits, copying, and deleting—and answers to the questions we receive most frequently in Support.
At a Glance
- New item: Go to Products → Categories / Products, open the category, and select “Add Product.” Required fields include a unique item number, the product name in the default language, and at least one category in the “Miscellaneous” tab.
- Delivery time: This is taken from the “Traffic Light Profile (Availability Traffic Light)” in the “General” tab and is based on inventory. For many items, you can change the profile in Quick Updates.
- “We Also Recommend”: Link items in the “Miscellaneous” tab under “Product References.” This block is only visible if the line “We Also Recommend / Products” is selected in the configurator for product presentation and marketing.
- Order: The “Sort Order” field determines the order in which a list is sorted. The smaller number appears first.
- Deletion is permanent: There is no trash can. Deactivate items you might need again via “Product Status.”

Not covered in this guide: Features and variants in detail ( Product Attributes Guide), prices, pricing tiers, and special offers ( Prices & Customer Groups Guide), adding items via CSV file ( Import & Export Guide), and creating descriptions using the builder ( xoContentEditor Guide).
Creating a Product
You can create products under Products → Categories / Products. The shop automatically assigns the category you’re currently in as the default category.
- Open the category where you want the product to appear and select the “Add Product” tab at the top. The form displays the message “New Product in …”.
- In the “General” tab, fill in the “Item Number” and “Product Name,” and set the “Product Status” to active as soon as you want the item to be visible.
- In the “Prices” tab, enter the “Tax Rate” and price; see the Prices & Customer Groups guide.
- In the “Description/Tabs” tab, enter the description, and in the “Images” tab, upload the images.
- In the “Miscellaneous” tab, under “Selected Categories,” check which categories the item is listed in.
- Save by clicking “Add.” To save an existing item, click “Update” or “Save and Close.”
The store will not save the item without this information
| Message | What’s missing |
|---|---|
| “Please assign a unique item number to this product!” | The item number field is empty. |
| “The item number is already in use! (Product: …)” | Another item has the same number; see item number. |
| “Product name in the default language (…) is missing!” | The name in the default language is missing. Empty fields for other languages are allowed. |
| “Please select at least one category in the ‘Miscellaneous’ tab!” | The item has no category; see Categories. |

Click the “Preview” tab at the top of the screen to open the product page in the store in a new window.
Master Data in the “General” Tab
This section contains the details that define an item: numbers, name, visibility, manufacturer, and suppliers.
In the “General” tab, the item number, GTIN code, name, status, and customer groups are listed on the left; on the right, you can select the product manufacturer and supplier. Click to enlarge.
Item Number, GTIN, and Name
- “Item Number” is required and must be unique. The shop does not distinguish between uppercase and lowercase letters: “AB-100” and “ab-100” are considered the same number.
- “GTIN Code” is the EAN. Google and marketplaces require it; see the Google Merchant Center guide.
- Fill in the “Product Name” for each language; only the default language is required. DeepL can translate foreign languages upon request; see the Languages & Translation guide.
Status and Visibility
- “Product Status”: The item disappears from the store; its URL either redirects or returns a “not found” error—see the SEO & Redirects guide.
- “Customer Groups”: “All” or a “Selection.” Other groups will not see the item.
- “Product Group (Master/Slave Products)” and “Slave Display Type” group variants together; see Variants.
Additional Information
- “Product Weight” for shipping costs; the “Different Shipping Weight” field only appears if you enable “Enable Different Shipping Weight” under Settings → Checkout → Shipping/Packaging. “Bulky Items” hides shipping methods that do not allow bulky items during the checkout process.
- “Sort Order” determines the order in lists; see Sorting.
- “FSK 18,” “Service Product,” and “Used Goods/Damaged Items (B-Grade)” control notices and consents during the checkout process.
- “Product Type (Warranty),” “Warranty Period,” and “Manufacturer’s Warranty (Years)” are described in the EU Warranty Label Guide.
Manufacturers and Suppliers
- “Product Manufacturer”: An item can have multiple manufacturers. There is one “Manufacturer Link” per language. If there are eleven or more manufacturers, you select from a list and can use “Apply Manufacturer Link” to insert the link from the manufacturer’s data; if there are fewer manufacturers, the form displays fields without this button.
- “Suppliers”: Multiple suppliers are also possible. The supplier item number is retained when the itemis saved.from 4.9.139
- For each supplier, you maintain the “Supplier Item Number” directly in the item.from 4.10
Item Number and Manufacturer on the Product Page
You can specify whether customers see the item number, manufacturer, and GTIN under Settings → Design → Product Listing: “Show Item Number” and “Show Manufacturer” are set by default to “ true,” and “Show GTIN” is set to “ false.” In listings, the “Product View in Product Listing” setting in the same group controls the “Item Number,” “Manufacturer,” and “Short Description” columns for each listing style.
If the manufacturer has an address, the product page displays a “About the Manufacturer…” tab with the contact information required by the EU Product Safety Regulation. You can enable or disable this under Settings → Design → Product Detail View → Product Detail View: Automatic Manufacturer Description Yes/No. You can update the address in the manufacturer’s settings; see Manufacturer.
Inventory, Delivery Time, and Pre-order
You do not need to enter the delivery time for each item individually. It is determined by a traffic-light profile that displays different text, an icon, and a delivery time in days depending on inventory status.
Inventory
- “Product Quantity (Warehouse)” is the available stock, with multiple warehouses per location.
- “Reorder Point (Warning when reached...)” and “Safety Stock” help with reordering, while “Storage Location (for packing list)” assists with picking.
- Set “Inventory Management” to No: Sales do not affect inventory.
- "Sell-out (EOL)" set to Yes: The item cannot be sold beyond the available stock, even if your store otherwise allows orders for out-of-stock items.
Delivery Time via the Traffic Light Profile
You create the profiles under Products → Traffic Light Profiles: for each level, specify a “Stock Level” at which it applies, a “Delivery Time in Days,” a “Text,” and an image or icon. In the product details, select the profile in the “Traffic Light Profile (Availability Traffic Light)” field. The Shipping & Delivery guide shows you how to set up profiles.
You can enable or disable the display in the store under Settings → Design → Product Listing → Availability / Traffic Light "global. "
Change the delivery time for many products
- Under Settings → General → Quick Updates, enable “Show Traffic Light Profile.” Products → Quick Updates will then display the “Traffic Light Profile” column, which can be filtered by category, manufacturer, and supplier.
- In the product overview, you can find all products in a specific profile by selecting “Additional Filters” → “Filter by Traffic Light Profiles.”
- For a large number of items, use the CSV importer with the “Traffic Light Profile ID” field; see the Import & Export Guide.
If the delivery time for a supplier changes, the easiest way is to adjust the traffic light profile yourself. The change takes effect immediately for all items with this profile.
Release Date and Pre-order
| Entered | Display in the store | Available for order? |
|---|---|---|
| “Release Date” in the Future | “Available starting …” and the “Coming Soon” button | No |
| Additionally, “Available for pre-order starting” in the future | “Available starting …” and “Pre-order starting …” | No, only starting from the pre-order date |
| “Available for pre-order starting” has been reached, but release date not yet | "Pre-order" button | Yes |
| Release date reached | Normal display | Yes |
- Under Settings → Checkout → Inventory → Display Format for Release or Pre-order Date, select the exact date (
full), the calendar week (week), or both. - Pre-orders for multiple items: Use the “Release Date” and “Pre-order Date” fields in the CSV importer. Quick Updates does not recognize these dates.
Temporarily removing an item or a variant
- Completely remove from the store: Set “Product Status” to “Off.” For variants, the variant disappears from the master product’s selection.
- Visible but not orderable: Set a “Release Date” in the future. The customer sees “Available starting …” and the “Coming Soon” button.
- Sell only remaining stock: Set “Clearance (EOL)” to Yes. When stock is 0, the traffic light displays the level specified in your profile for stock level 0.
- You can disable individual attribute values in the “Attributes” tab; see the Product Attributes Guide.
New, Featured, and High Demand
These labels highlight items in lists and on the product page. You set most of them in the “General” tab; the store calculates some automatically.
| Marking | Where to set | Effect |
|---|---|---|
| “New” | “Product as New Arrival/Top Pick (Top New),” optionally “Top New from/to”; multiple items under Products → Top New Products | “New” badge and priority placement in the “New Arrivals & Top Picks” section |
| “New” automatically | Settings → Design → Product Listing: “New Arrivals and Top Picks 'Top-New'” and “Duration of 'New' Product Label” (default: 4 weeks) | If “New Arrivals and Buying Tips ‘Top-New’” is set to “ true,” every item created in the last few weeks is considered new |
| Highlight | “Featured Product,” optional “Featured From/To”; list under Products → Highlights | "Top" badge, "Highlights" section and page |
| Promotion | “Product Promotion,” optionally “Promotion from/to” | Promotional Items Page |
| Badges and Labels | “Product Badges” and “Product Labels”; create under Products → Product Badges and Products → Product Labels | Custom labels, energy labels, and similar markings |
| “High Demand” | Settings → Design → Product Detail View → High Demand Badge (default 100, 0 = off) | see below |
"New" on too many items
After a large import, all items are marked as “New” because they were just created. Two options:
- Set the “Duration of ‘New’ Product Label” to a shorter period, such as 1 week.
- Set “New Arrivals and Top Picks ‘Top-New’” to
false: Then only items marked as “Product as New Arrival/Top Pick (Top-New)” will display the badge, and the “New Arrivals & Top Picks” section will show only those items.
“High Demand”
If the product page has been viewed more times in the last 24 hours than the set value, it displays the phrase “In the last 24 hours, … people have viewed this product.”
Page views are counted, not unique visitors: If someone loads the page multiple times, each view counts. Set the value high enough so that the statement is accurate for your customer base, or set it to 0.
Description, Short Description, and Checkout Text
The “Description/Tabs” tab contains three text fields for each language. Each has its own designated space in the store.
| Field | Appears |
|---|---|
| "Product Description (Short)" | in lists and on the product page; this field is available if Settings → Design → Product Listing → Extra Short Description On/Off is set to “ true ” (default) |
| "Product Description" | on the product page; also appears in lists if no separate short description is provided |
| “Key Product Features (Checkout Information)” | on the order summary page directly before the Buy button, as required by the button solution |
| “Manufacturer’s Warranty Text” | regarding the voluntary manufacturer’s warranty; see the EU Warranty Label Guide |
Show short description in listings
Under Settings → Design → Product Listing → Product View in the product listing, each listing style has a “Short Description” column. By default, the list view list displays the short description, while the tile view gal does not. If a product’s short description is missing, the store uses the product description.
Customized Description
Using the “Product Description (xoContentEditor)” button, you can build the description using blocks with background images, boxes, columns, and tables. Once created, you can save these layouts as templates and apply them to other items; see the xoContentEditor guide.XONIC Premium: Content Editor
Line Breaks in the Editor
- Pressing the Enter key starts a new paragraph with spacing. Pressing Shift + Enter creates a simple line break without spacing.
- A bulleted list is always followed by a space because the list and the next paragraph are separate blocks. If the space appears twice, this usually results in an empty paragraph: Open the HTML view using the “Source Code” button and delete lines such as
<p> </p>. - Text from Word or a website often comes with its own formatting and non-breaking spaces, which break differently depending on the browser. Paste such text as plain text and reformat it in the editor.
Product Tabs and Templates
Product tabs are the expandable sections below the description, such as “Technical Specifications” or “Care Instructions.” They can be found in the “Description/Tabs” tab under “Product Tabs.”
You can edit a custom tab directly in the product listing; a tab from a template is locked and displays a yellow note indicating its source. Click to enlarge.
Custom Tab
“New Product Tab” creates a tab specifically for this product: “Tab Name” and content for each language, “Tab Sort Order” to set the sequence. Setting “Tab Expanded” to Yes displays the tab expanded when the page opens.
Template
“Select Templates” opens the list of tab templates. You maintain a template once and assign it to multiple articles. If you change the template, the tab changes for all of them. In the article, a yellow note indicates that the tab comes from a template.
Template for an Entire Category
In the template list, “Category Linking” opens the category selection. All articles located directly within a selected category will display the tab. You can select subcategories individually.
Tabs for All Products
- A CMS page appears as a tab on every product page if “Enable as tab for product page (will then be displayed on every product page)” is enabled under CMS → CMS Manager. “Expand tab on product page” expands it. This is suitable for shipping or care instructions.
- An additional field with the tab status “as a tab” appears as a separate tab; see Additional Fields.
- You can organize frequently asked questions with their own section and structured data for search engines in the “FAQ” tab; seethe FAQ System Guide.from 4.10
Additional Fields (Product Extra Fields)
Additional fields are used for information for which the form does not have a dedicated field: material, dimensions, origin, care instructions. Customers see them in the product information, in lists, or as a separate tab.
- Under Products → Product Extra Fields, click “Insert” to create a field: Name and Language.
- In the list, specify where it appears: “Status” (visible or invisible), “Listing Status” (also in lists), “Tab Status” (“as a tab”), and “Tab Expanded.”
- In the product details, on the “Miscellaneous” tab under “Product Extra Fields,” enter the value. The store does not display fields without a value.
- Hide a field without losing the values: Set “Status” to invisible. The value remains saved, for example, for exports.
- You can enable or disable all additional fields on the product page under Settings → Design → Product Detail View → Product Extra Fields in Product Info.
- Fields marked as “Protected from deletion” belong to the store itself, such as the Google labels for the product feed. Leave these as they are. Custom fields are automatically assigned a number starting at 50.
- When deleting a field, you can transfer the values to another field if desired (“Transfer values to another custom field”).
You can enter values for multiple items using the CSV importer; see the Import & Export Guide. The product search will only find custom fields once you’ve added them there; see the Search Guide.
Order Quantities and Items on Request
In the “Prices” tab, you’ll find the rules for quantities and purchase buttons next to the prices. The Prices & Customer Groups guide describes the prices themselves.
| Field | Effect |
|---|---|
| “Minimum Order Quantity” | Smallest quantity in the shopping cart |
| “Quantity Tiering” | Increment, e.g., 6 for six-packs |
| “Maximum Order Quantity” with “Time Window in Days” | Maximum quantity per customer; 0 days = permanent, 365 = orders from the past year |
| “Full packaging unit” | Reference to the packaging unit |
The shop displays the note “Minimum quantity: …” only if the minimum order quantity is greater than the quantity tiers. In older versions, “Minimum quantity: 0” appeared when the minimum order quantity was 0; enter 1 there.
Click-to-Call
“Click-to-Call Product” replaces the Buy button with an “Inquiry Form.” The button opens the “Product Inquiry” window. To enable this, keep the product inquiry feature turned on; see the Forms & Spam Protection Guide.
Price Upon Request
The store handles items with a price of 0 as follows: Settings → Design → Product Listing → Products Without a Price: if you select “ anfrage,” “Price on Request” will appear. If you want free items with a price of 0.00 € to be orderable, select false. This setting applies to all items with a price of 0; see the Prices & Customer Groups guide.
Show, but don’t sell
“Hide Shopping Cart” removes the Buy button; “Hide Price” removes the price. “Disable Quick Buy” replaces the Buy button in lists with “View Product.” For items that will only be available for purchase at a later date, a release date is recommended; see Pre-order.
SEO Tab and Invisible Search Terms
The “SEO” tab contains the search engine settings for each language and a field for additional keywords.
Meta Information
- “SEO - URL”: the name in the address bar. If left blank, the store generates it from the product name.
- “Meta Title” and “Meta Description”: Title and text in search results. The preview below shows how Google displays the entry.
- Turning off “Include in XML sitemaps for search engines” removes the item from the sitemap. It remains accessible.
- “Robots meta tag” per item; see the SEO & Redirects Guide.from 4.10
Invisible Search Terms
The “Meta Keywords” field is not visible to the customer. Enter alternative spellings, synonyms, or old item numbers there, such as “sneaker, athletic shoe, running shoe.” Google does not evaluate this field.
The store search takes these terms into account as soon as the “Search Terms (Product)” field is enabled under Settings → General → Search → Configure Product Search; see the Search Guide. For many products, use the “Product Search Terms” field in CSV-Porter.
Categories and Main Category
An item’s categories are listed in the “Miscellaneous” tab under “Selected Categories.” An item can be assigned to any number of categories.
- No Product Page Without a Category: An item without a category cannot be opened in the store; the page displays “Not Found.” For this reason, the form requires at least one category when saving.
- Assign to More Categories: In the product overview, select “Link/Move/Duplicate” from the product menu and use the “Link Product” copy method; see Copying.
- Finding items without a category: As the main administrator, open a category—preferably an inactive umbrella category—and select “Error Search and Cleanup” at the top. The store will assign all items without a category to this category and clean up other legacy issues. Be sure to create a backup beforehand.
- Main Category: In the category list, mark a category by selecting “Use this category as the product’s main category.” This determines the category path in the URL, the canonical URL, the sitemap entry, and the category in price portal feeds; see the SEO & Redirects Guide.from 4.10
Product References, Recommendations, and Shopping Cart Add-ons
Three blocks recommend additional items. You maintain two of them yourself; the shop calculates the third based on orders. All three appear only if they have an entry in the Product Presentation and Marketing Configurator.
| Block in the store | Content | Row in the Configurator |
|---|---|---|
| “We also recommend” on the product page | Your product recommendations, supplemented with additional items from the store if desired | “We also recommend / Products” (included by default) |
| “Customers also bought the following products” | Items purchased in the same orders; this is automatic | “Customers also bought / Products” (pre-installed) |
| “Add to Cart” in the shopping cart | Items you’ve added to the items in the shopping cart | “Shopping Cart Add-ons / Shopping Cart” (create yourself) |
Manage product references
- In the item’s “Miscellaneous” tab, click the pencil icon next to “Product References,” or search for the item under Products → Product References.
- Find and select the desired items using the search function.
- Set the order in the “Sort Order” column. If you select “Category Link,” the tile will link to a category instead of the item.
- Save. The reference is one-way; if you want the other item to link back, set up the link there as well.
Set up the block
Under Settings → Design → Product Listing → Configurator for Product Presentation and Marketing, set the “Display,” “Sort Order,” and “Number” in the “We Also Recommend / Products” row. To ensure your order takes effect, select “Cross-Selling Order Ascending” (default) as the sorting option.
"Product References 'We Also Recommend'" in the same group populates the block with additional active items until the "Minimum number of product links (Cross Sell / XSELL) in the slider box "We Also Recommend" under Settings → General → Minimum Values is reached (default: 10). With “ false,” the block displays only your recommendations; without recommendations, it displays nothing.
In the “Product Recommendations” window, select the recommended items and set their order in “Sort Order.” Click to enlarge.
With the “Cross-Selling Order: Ascending” sorting option, your order takes precedence; you can create the “Shopping Cart Add-ons / Shopping Cart” row yourself using “New Entry.” Click to enlarge.
“We Also Recommend” does not appear—the checklist
- Is there a row in the configurator labeled “We also recommend / Products” with a “Quantity” greater than 0? The store will discard any row without a quantity when saving.
- Are the linked items active and approved for the visitor’s customer group?
- Are the linked items variants? Variants only appear in such blocks if Settings → Design → Product Listing → Slaves in Product Sliders is set to “
true.” Otherwise, link the master item. - Are the linked items sold out while Settings → Checkout → Inventory → Hide Sold-Out Products is enabled?
- If your store uses a custom template, check the default template to see if the block appears there. If in doubt, contact Support.
Cart Add-ons
Create the row “Shopping Cart Add-ons / Shopping Cart” in the configurator. There is no separate field in the product editor for assigning which product suggests which add-on. This information is provided via the xoPort data interface, for example from the inventory management system. The block displays add-ons for all products in the shopping cart, except those already in it.
Offering Accessories as a Variant
There is no separate selection of accessories alongside the variants. Accessories that customers purchase additionally are displayed as product references. If an accessory is a fixed part of the product, it becomes a bundle (see Bundles). An option with an additional charge, such as “with bag,” should be created as a feature; see the Product Attributes Guide.
File Uploads, Downloads, and License Keys
In the “Download/Upload” tab, use “Add Download/Upload” to create entries. The “Type” determines whether the customer uploads or downloads a file.
An upload entry requests a file from the customer; a purchase download delivers a file after the purchase and, if desired, a serial number from the list for each item. Click to enlarge.
File Upload by the Customer
- Set “Type” to “Upload” and “Status” to “Active.”
- Fill in “Description / Label” in every language, for example, “Your print design.” If no text is provided in the customer’s language, the upload will not appear to them.
- Enter “File Types” as comma-separated file extensions and “Maximum File Size,” for example,
10m. - Set “Upload Required (at Checkout)” to Yes if an order cannot be placed without a file.
Where the customer uploads
The upload field is not on the product page but in the checkout process, as a separate step after the shopping cart. Additionally, there is an “Upload File” button in the shopping cart if Settings → Checkout → Shopping Cart → Show “Upload File” button in the shopping cart is set to true. You can then find the files in the order.
If the uploaded file personalizes the product—such as with a custom design—enable the “Upload personalizes the product” option during the upload process; see the guide at Widerrufsbutton.from 4.10
Downloads
Select “Download” under “Type,” then choose “Type of Download”: “Purchase Download” is received by the customer after purchase. “Document Download” (such as a data sheet) is available for download on the product page, while “Document Download (Price Box)” appears directly next to the price; Under “Customer Groups,” you can restrict access to specific groups if desired. “Playlist Entry (Audio)” and “Playlist Entry (Video)” play files on the product page. Purchase downloads are only available if Settings → Checkout → Download → Enable Product Downloads is set to “ true.” “Optional time limit” and “Optional limit on number of downloads” restrict access. For digital content, please note the exclusion from the right of withdrawal; see the guide on the withdrawal button.
Automatically Send License Keys
- Under Settings → Checkout → Download, set “Enable product downloads” to “
true” and “Serial numbers for (purchased) downloadable products” to “text” (numbers in the field), “file” (text file, one number per line) orfile_to_text(upload a file; the store transfers the numbers to the field). - In the product, create a download with “Download Type” set to “Purchase Download” and specify a file under “Path,” such as the installation instructions. The store will not assign a key without a file.
- Enter the keys under “Optional Serial Numbers” separated by commas, or select the file.
- For each order, the store takes one key per item from the list and displays it in the order confirmation and the customer’s account.
- “Do not display serial numbers until the download is approved” set to “
true”: The customer will not see the key until the order reaches the status specified under “Status when downloads are approved,” such as after payment is received. - If the keys run out, you’ll receive an email. The store will warn you in advance using “Warning threshold for number of serial numbers.”
Generate Text with AI
Using an integrated AI, the store rewrites or supplements the product name, short description, description, checkout text, and meta data. You review the results and save them.
Setup
- Under Settings → Interfaces → Artificial Intelligence → OpenAI (ChatGPT), enter the “OpenAI API: Key” from your OpenAI account and set “OpenAI API: Status On/Off” to “
true.” - Alternatively, or in addition, select “Claude (Anthropic),” “xAI,” or “Perplexity” in the same group.
- In the article editor, “Revise” buttons appear next to the text fields. If multiple providers are available, select the provider from the button’s menu.XONIC Premium: Marketing / Automatisierungen & Künstliche Intelligenz
How the button works
- The process is based on the text in the default language and the information the article already contains: name, text, GTIN, metadata, manufacturer, and attributes. This data is sent to the selected provider—no customer data is included.
- The result appears in the field. It is not saved until you click “Update.”
- You can customize the instructions for the AI under Tools → xoLanguage.
- Tools → AI Texts fills in data for multiple items at once; this is visible only to the main administrator. By default, it fills only empty fields.
true.” If the button is missing entirely, either no provider is active or the module has not been purchased.Variants and Bundles
Variants are separate items that make up a product group. A bundle is an item consisting of other items.
Variants
The Product Attributes guide explains whether you should map sizes and colors as attributes of a product or as separate products within a product group (master and slaves), where the displayed name of a variant comes from, and how the selection appears on the product page.
Create a Bundle
- Create a new item, such as “Care Set,” with its own item number and price.
- In the “Bundle” tab, enable “Bundle Status.”
- Select the components using “Add to Bundle” and enter the quantity; “Add with Options” sets a fixed attribute selection.
- Specify where the components appear: category listing, product detail page, shopping cart.
| Toggle switches in the “Bundle” tab | Effect |
|---|---|
| "Automatically calculate bundle stock level based on bundle products" | The bundle’s available stock is determined by the component with the lowest stock: its stock divided by the quantity in the bundle. When a purchase is made, the store deducts the components from inventory. |
| "Hide the bundle if any of the bundle products are inactive" | The bundle disappears as soon as one of its components is inactive. |
| “Individual products after order” | Instead of the bundle, the order contains the individual components as line items. |
| “Main product also as a single product” | In addition to the components, the bundle remains as a line item in the order. |
| “Copy Products to All Slaves” | If the bundle has variants, they inherit the components. |
- Bundle consisting of variants of different items: Each variant is a separate item. Select the desired variants directly as components, such as “Red shirt, size M” from one master item and “Black cap” from another. Each item appears only once in the bundle.
- Include the same item in two attribute combinations, for example, once in red and once in blue. from 4.10
- Bundle Price: The bundle has its own price. The “Bundle Price” column in the “Prices” tab shows the sum of the components for comparison; see the Prices & Customer Groups Guide.
- The “Calculate bundle price automatically via bundle products” feature calculates the bundle price from the prices of the individual items, with a percentage markup or discount.from 4.10
Products Without Images
If an image is missing, the store displays a placeholder or omits the image area. You can configure this separately for lists and product pages.
| Setting | Values |
|---|---|
| Settings → Design → Product Listing → Behavior for Products Without Images in the Listing | auto (default): Placeholder if other items in the list have an image; otherwise, omit the image area; placeholder: Always use a placeholder; hide: Omit the image area |
| Settings → Design → Product Detail View → Product Detail View: Fallback if no product image is available | What the left column of the product page displays: auto (description, otherwise short description, otherwise nothing), description, short_description, gallery_empty, hide_left, placeholder |
| “Fallback without product image” in the “Images” tab | The same applies to a single item |
| Settings → General → Module Options → No-Image Picture for Products | There is no placeholder image on false |
| Settings → Design → Product Listing →Sortproducts without images to the bottomfrom 4.9.135 | Items without images appear after all those with images, unless the customer selects a custom sort order. In blocks with a fixed number of items, this often causes them to be omitted entirely. |
Manage Manufacturers and Suppliers
You can manage manufacturers under Products → Manufacturers, and suppliers under Products → Suppliers. Manufacturers are visible to your customers, while suppliers are visible only to you.
Create a manufacturer
- “Manufacturer Name,” “Manufacturer Image” (the logo), and “Manufacturer Description” for each language. The manufacturer page displays the logo and description above the product list.
- You can add a second image—such as a brand banner—to the “Manufacturer Description” field, designed using the xoContentEditor if desired.
- “Manufacturer’s Address” for information required under the EU Product Safety Regulation. If the manufacturer is based outside the EU, the form also requires the “responsible person” within the EU.
- “Highlight Manufacturer on Homepage” highlights the brand on the homepage.
Merging Duplicate Manufacturers
There is no built-in function for merging entries. Here’s how to proceed:
- Under Settings → General → Quick Updates, enable “Show Product Manufacturer” and “Edit Product Manufacturer.”
- In Products → Quick Updates, filter for the duplicate manufacturer, select the correct one for each item, and save.
- Delete the duplicate manufacturer. In the delete dialog, “SEO History” will redirect its old URL to the correct manufacturer; see the SEO & Redirects guide.
- Do not check the box “Delete all items … from this manufacturer?” during this process.
Removing Brands from the Brand Overview
- Hide manufacturers without active products by going to Settings → Design → Product Listing → Hide Manufacturers Without Products. By default, this setting is set to “
false.” - “Delete All Manufacturers Without Products” in the manufacturer list removes manufacturers that are no longer in use all at once.
- A manufacturer’s “Status” currently has no effect in the store. If a product is listed under the wrong brand, correct the “Product Manufacturer” in the product details.
Suppliers
- For each supplier, there is a name, an address with a contact person (first and last name), a “Supplier’s Email Address,” and “Your Customer Number with the Supplier.” The form does not support multiple contact persons.
- “Supplier Address (PDF)” and “Email Template for Correspondence with Suppliers” are required for the order form that you send to the supplier based on an order; see the Orders Guide.
- The shop assigns a supplier ID; it cannot be changed. You can change “Your customer number with the supplier” at any time.
- The supplier item number is used for item assignment. For many items, you maintain it in CSV Porter using the “Supplier Item Number” field,or in Quick Updates with the supplier filter enabled.from 4.10
Sorting and New Arrivals
An item’s position in a list depends on how the list is sorted. The “Sort Order” field in the “General” tab only applies when the list is sorted by that order.
| List | Sorted by | Bring items to the front |
|---|---|---|
| Category pages, manufacturer pages | Settings → Design → Product Listing → Product Sorting (Product Listing), set to “Sort Order” by default; if the sort order is the same, sort by name | Assign a lower “Sort Order” to this item than to all others |
| Product blocks such as “New Arrivals & Top Picks” | "Sort Order" column in the Product Presentation and Marketing Configurator | Select “Sort Order Ascending” and assign the lowest sort order to the item |
| "New Products" page | Date added, newest first | Cannot be configured |
| “We Also Recommend” | "Cross-Selling Order: Ascending" | "Sort Order" column in the "Product References" window |
- The sort order applies uniformly across all categories of the item. There is no separate sort order for each category.
- If the customer selects “Sort by” at the top, their selection takes precedence.
- For many products, enter the numbers in Quick Updates in the “Sorting” column (with the “Show Sorting Column” setting enabled) or via CSV importer using “Product Sort Order.”
- The guide “Designing the Home Page” describes which product blocks appear on the home page.
Editing Many Items at Once
There are three tools in the backend for making changes to multiple items, and the CSV Importer for anything beyond that.
| Tool | Changes |
|---|---|
| Products → Quick Updates | Page by page, filtered by category, manufacturer, supplier, and status: Price, Inventory, Status, Weight, Sort Order, Traffic Light Profile, Manufacturer, Tax Rate, Purchase Price, Item Number. You can specify which columns appear under Settings → General → Quick Updates. |
| “Selected Product(s)” in the product overview | Selected items and categories: “Change Status,” “Delete,” “Move,” “Link” (only if no category is selected), plus “Google Assignment,” “Assign Primary Option,” and “eBay Assignment” |
| Products → Top New Products, Products → Highlights | The “New” and “Highlight” labels for many items |
| CSV Porter | Almost every field, including release and pre-order dates, minimum order quantity, search terms, additional fields, and product references; see the Import & Export Guide |
Quick Updates displays the items in a category as a table; “Refresh” saves all rows on the page at once. Click to enlarge.
- Quick Updates saves all rows on the page when you click “Refresh.” Do not switch pages until after saving; otherwise, the store will prompt you to confirm.
- Before editing special prices in Quick Updates, read the note in the Prices & Customer Groups Guide.
- You can change the delivery status of many items using the traffic light icon; see Delivery Time.
Copy, Move, Delete
In the product overview under Products → Categories / Products, each product has a menu with “Edit,” “Link/Move/Duplicate,” and “Delete.”
After selecting items, the “Selected Product(s)” button appears above the list; its menu allows you to update the status, delete, move, or link all selected items at once. Click to enlarge.
Duplicate
“Link/Move/Duplicate,” select the “Duplicate Product” method, then enter a new name and product number. The copy inherits text, images, attributes, prices, tabs, custom fields, manufacturers, suppliers, references, and inventory levels; it does not inherit reviews or sales figures. Check the stock level of the copy.
Link and Move
Copy method “Link Product”: Select all categories where the item should appear. The item remains a single item; changes apply everywhere. To link or move multiple items, use “Selected Product(s)”; “Link” appears there only if no category is selected.
Delete
"Delete" asks from which categories the item should be removed. It is not permanently deleted until no categories remain. With "Delete Images from Server," the store removes images that are not used by any other item. It also deletes reviews and history along with the item.
Deleting a Product with Many Variants
- Search by name or item number in the product overview; the search also finds the item numbers of the variants.
- Use the “Select” button above the list to select all results on the page, page by page if necessary.
- At the top, select “Selected Product(s)” and “Delete.”
If you delete only the master item, the variants will remain as individual items.
Troubleshooting
The most common situations where something in the store doesn’t appear as expected.
| What You See | Common Cause | Solution |
|---|---|---|
| Product page displays “Not Found” | Item is inactive, has no category, is blocked for the customer group, or the category is blocked | Status, Categories |
| “We also recommend” is missing | No row in the configurator; linked items are inactive, variants, or sold out | Checklist |
| Tab does not appear | No content in the language, same name as another tab, template linked only via parent category | Product tabs |
| Additional field does not appear | “Status” is invisible, no value, field not created for the language, product information disabled | Additional fields |
| Upload field is missing | Status off, no label in the language, customer searches on the product page instead of during checkout | Upload |
| No license key in the order | Downloads or serial numbers disabled; purchase download without a file; list is empty | License key |
| No “Revise” button or red error message | AI provider not active, incorrect key, balance empty | AI texts |
| Item is not at the top despite sorting order | List is sorted differently; customer selected “Sort by” on the “New Products” page | Sorting |
| All items are labeled “New” | Items were just imported | Tags |
| After Quick Updates, the item now has only one manufacturer | "Edit Product Manufacturer" was enabled | Manufacturer |
| Saving fails with the message “NOT saved” | Form data was received incomplete | Create item |
